Yash Cotex (“we”, “our”, “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you visit our website, when you buy from us or sell to us, and when you contact us by WhatsApp, email or phone.
1. Information We Collect
- Personal Information: Name, email, phone number, or any details you send us by WhatsApp, email or phone.
- Technical Information: IP address, browser type, device details, and pages visited.
- Cookies: This website sets no cookies and uses no analytics or advertising trackers.
- Buyers, brokers and transporters: name, business name, mobile number, email and business address; business identifiers such as GSTIN and PAN; purchase orders, rates and payment terms; vehicle numbers, and a driver’s name and mobile number if shared with us; weighment records (vehicle number, weights, number of bags, dates and times, and the photographs taken at each weighment, which show the vehicle, its number plate and the person at the counter); bills and weighment slips; and payment reference numbers.
- Sellers, and people who bring us cotton or maize: name, business and contact details; the vehicle and weighment records described above, including weighment photographs; and the bank account details we need to pay you.
- People who contact us: your name, mobile number, WhatsApp profile name and email address, and the content of your messages and attachments (such as photos, PDFs and voice notes), with their dates and times.
- Visitors to our premises: recordings from the CCTV cameras at our premises, including those at the weighbridge, which may show vehicles, their number plates and people.
Bank account details are sensitive personal data under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. We collect them only to make or match a payment, and only with your consent in writing (for example by email).
2. How We Use Your Information
- To respond to inquiries and provide customer support
- To improve website performance and user experience
- To send updates or promotional content (only if you opt in)
- To maintain security and prevent fraudulent activity
- To buy and receive maize, to receive cotton, and to accept, confirm and fulfil orders
- To weigh vehicles and issue weighment slips and bills
- To make, receive and match payments
- To talk to you about orders, dispatches, documents and payments by phone, WhatsApp or email
- To keep the accounts and records the law requires, and to respond to authorities
3. Sharing of Information
We do not sell or rent your personal information.
We may share data with:
- Trusted service providers (website hosting by Cloudflare, email services by GoDaddy, Meta’s WhatsApp Business Platform, and the provider of our weighbridge and billing software, which stores data on Google Cloud in India and automatically reads the messages that reach our WhatsApp Business number)
- Banks, to make and receive payments
- Brokers, transporters and buyers on the same order — only what that order needs
- Authorities, if required by law
4. Data Security
We use reasonable security measures to protect your data from unauthorized access, loss, or misuse.
5. Third-Party Links
Our website may contain links to external websites. We are not responsible for their privacy practices.
6. Your Rights
You may request to access, update, or delete your personal information by contacting us. You may also:
- Withdraw consent at any time, as easily as you gave it: tell us on WhatsApp, by phone or by email. This does not affect what we did before, and we may still keep records the law requires.
- Raise a grievance with our Grievance Officer (section 12) and receive a response.
- Nominate another person to exercise your rights if you die or become unable to.
If you are not satisfied with our response, you may also complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

9. WhatsApp and Email
We use WhatsApp and email to send and receive purchase orders, vehicle details, bills, weighment slips, payment updates and replies about them.
Messages and attachments sent to our WhatsApp Business number are read automatically by our software, so that each one is filed against the right order and the right reply or document can be sent. Messages sent through WhatsApp are carried by Meta’s WhatsApp Business Platform.
We send you WhatsApp messages only if you have given us your number and agreed to hear from us there. Tell us at any time — on WhatsApp, by phone or by email — and we will stop.
Please do not send passwords, OTPs, card numbers or identity-document numbers by WhatsApp or email.
10. How Long We Keep It
- Orders, weighments, bills and payments: as long as the law requires. For GST, books and records are kept until 72 months after the due date of the annual return for that year (Central Goods and Services Tax Act, 2017, section 36).
- Messages and emails: as long as needed for the order they relate to and its records, or to settle a dispute.
- Weighment photographs and camera recordings: only as long as we need them for our records, to settle disputes and to meet legal requirements. Our camera recorders overwrite older recordings automatically.
- Website technical data: kept by our hosting provider for a limited period, for delivery and security.
When data is no longer needed and no law requires us to keep it, we delete it.
11. How to Make a Request or Delete Your Data
To see, correct or delete your personal data, or to stop our messages, send us the request by WhatsApp on 9172102681, by phone on 9764493781, or by email to accounts@yashcotex.com. To ask us to delete your data, write “Delete my data”.
Include your name, the phone number you used with us, and a bill or weighment slip number if you have one. We may ask you to confirm it is you, for example by replying from that same number.
We reply within one month. We delete what we no longer need and tell you what we must keep by law (for example bills and GST records) and for how long.
